Inventory Reports

A professional inventory report is the foundation of a smooth and transparent tenancy. It provides a clear, impartial record of the property’s condition at the start of the agreement, helping all parties understand and agree on the state of the home before anyone moves in. This report becomes the reference point throughout the tenancy and at check-out, reducing the risk of disputes and supporting fair decisions on deposit returns.

At Invepro Inventory Services, we provide detailed, photographic inventory reports for properties of all sizes throughout Stroud, Cheltenham, Gloucester and the wider Gloucestershire area.

What Is an Inventory Report?

An inventory report is a comprehensive written and photographic record of a rental property at a specific moment in time — usually just before the tenancy begins. It includes:

  • The condition of every room and surface (walls, floors, ceilings, décor)
  • Fixtures and fittings
  • Furniture and appliances (where included)
  • Keys and access items
  • Safety equipment, alarms and detectors
  • Meter readings (where possible)
  • General cleanliness and presentation

The report is structured so that both landlord and tenant have a shared understanding of the property’s condition at the outset.

What Our Reports Include

Our inventory reports are:

  • Photographic as standard
  • Room-by-room with clear, consistent formatting
  • Detailed but easy to understand
  • Delivered digitally as a secure PDF
  • Available with optional video walkthrough (on request)

Each report is clearly time-stamped and stored securely.

When Inventory Reports Are Used

Inventory Reports are typically created:

  • Just before a new tenancy starts
  • Before a Check-In with the tenant (optional service available)
  • As the baseline for:
    • Interim Inspections
    • Check-Out Reports

This means the same document becomes the reference point throughout the tenancy lifecycle.

Our Process

  1. Property Access Scheduled
We arrange a convenient time to visit the property.
  2. Full Condition Assessment
We document each room thoroughly with photographs and written notes.
  3. Meter Readings & Keys (where available)
We record readings and key sets being provided.
  4. Report Prepared & Delivered
You’ll receive your digital PDF report promptly — typically within 24-48 hours depending on property size.

Add-On: Tenant Check-In Service

If you would like us to meet your tenant and complete the Check-In, we can:

  • Meet the tenant at the property on or before the tenancy start date
  • Review the inventory with them
  • Confirm meter readings
  • Obtain their signature
  • List and hand over keys, if required
  • This ensures everyone begins on the same page.

Why Inventory Reports Matter

A high-quality inventory protects everyone involved:

For Letting Agents

It provides a credible, professional record that supports transparency and reduces management demands later on.

For Landlords

It offers evidence if any deductions from the tenant’s deposit are required — you are not relying on memory or assumption.

For Tenants

It ensures that you are not held responsible for pre-existing issues and supports a fair return of your deposit at the end of the tenancy.
